A Modern Platform for Brokerage Operations

This boutique commercial real estate brokerage operates across multiple lines of business, including leasing, tenant representation, investment sales, and property management.

As the firm expanded, leadership wanted a platform that could support the full brokerage lifecycle, from prospecting and deal tracking to client relationships and reporting, while giving brokers and executives a clearer view of the business.

Problem

The firm relied heavily on FileMaker and manual workflows to manage deals and customer relationships.

  • Executives lacked a holistic view of brokerage activity, deal cycles, and pipeline performance.
  • Contact and account data were siloed across teams, creating inconsistent records and limiting adoption.
  • Manual processes also made it difficult to track deal activity across leasing, investment sales, and tenant representation teams.

Process

Fortimize replaced FileMaker with a Salesforce Sales Cloud platform built around the brokerage’s real workflows.

The system supports the full leasing lifecycle, including broker CRM functionality, inventory tracking, and commission calculations. Investment and land teams gained structured pipelines for managing prospective sellers and assignments, while tenant representation teams received dedicated workflows for managing client relationships and transaction cycles.

The engagement was structured as a 12-month managed services partnership — six months of implementation followed by six months of post-go-live support — ensuring the team had a partner focused on long-term adoption and improvement.

Results

Deal activity, client relationships, and pipeline management now live in one shared system used across leasing, investment sales, tenant representation, and property management.

This shift changed how the brokerage runs day to day. Brokers no longer move between disconnected tools to track relationships or deals. Instead, teams work from a single environment where pipeline activity, customer relationships, and deal progress are visible across the firm

Impact on Brokers & Clients

Centralizing deals, relationships, and brokerage workflows gives brokers a complete view of their pipeline and client activity. With one system supporting leasing, investment sales, tenant representation, and property management, brokers can focus on deals instead of managing disconnected tools.

For clients, that means faster coordination, better deal visibility, and more responsive brokerage service.
